Capture incoming orders
Emails can be forwarded to Lexis manually by customer service agents or automatically through email rules in Outlook or Gmail. Once received, Lexis extracts the complete content of the email together with all relevant attachments, converting them into structured raw data ready for processing.
Identify the customer
Using AI, Lexis analyzes the extracted information and suggests the most likely customer from your CERM7 database. If the sender’s email address matches uniquely with a customer record, the customer is automatically confirmed and the system proceeds with order extraction. In cases where multiple matches are possible, the CSR simply selects the correct customer before the workflow continues.
Extract and validate order data
Lexis identifies and extracts key order information such as purchase order numbers, product references, quantities and delivery dates. A confidence score is calculated for the extracted data, combining traditional CERM7 validation logic with AI interpretation of the documents. Quantities are automatically validated against product-level minimum and maximum order quantities, highlighting any discrepancies that require attention.
Create the sales order
After reviewing the extracted information, the CSR confirms the data and the sales order is created directly in CERM7. During this process, Lexis validates the customer price against the reference calculation stored in CERM7. If a discrepancy is detected, the user is alerted before the sales order is created.
